Cashback is only free money if you actually collect it. Many people earn rewards across several credit cards, shopping portals, and store apps, then lose track of balances, miss payout thresholds, or let rewards expire. The losses are small individually but add up over a year. The fix is not a complicated app — it is a simple system you will actually maintain.

Start by listing every place cashback accumulates for you. That usually includes each credit card's rewards program, cashback browser extensions or portals, store loyalty programs, and any bank or app offers. For each one, note four things: the current balance, the payout threshold, the payout method, and any expiry rule. Most people are surprised to find money sitting in a portal they forgot they used, sometimes close to a payout threshold.

Next, put that list into one place you already check regularly. A spreadsheet works well, and a notes app works too. The key is a single view: program name, balance, threshold, expiry date, and a link or note about how to redeem. Update it once a month — set a recurring calendar reminder for the first weekend of the month. A system updated monthly beats a perfect system updated never.

The biggest cashback leaks come from three habits. First, splitting spending across too many programs so none of them reaches a payout threshold. If you have five cards each earning a little, consider concentrating everyday spending on one or two cards with the best general rate. Second, forgetting portal rules: some portals only credit cashback if you click through their link, and ad blockers or coupon codes from other sites can void the tracking. When a purchase matters, click through the portal, complete the purchase in the same session, and avoid stacking outside coupon codes. Third, ignoring expiry dates. Some rewards expire after a set period of inactivity, so even a tiny qualifying transaction can reset the clock.

Payout timing also matters. Some programs pay automatically once you hit a threshold; others require you to manually request redemption, and some only allow redemption in specific increments. Check whether your rewards are set to auto-redeem or manual. If manual, add redemption to your monthly routine: redeem anything above the threshold instead of letting balances grow indefinitely. Cashback sitting in a portal earns you nothing and risks expiring; cashback in your bank account is yours.

Finally, keep a simple annual tally. Each time you redeem, record the amount and date. Over a year, this tally tells you which programs are actually worth your attention and which ones earn so little that they are not worth tracking. Drop the low performers, keep the two or three that deliver, and your cashback system becomes simpler every year — and leaks far less money along the way.

A workable monthly routine takes about fifteen minutes. On the first weekend of each month, open your tracker and update each balance. Check whether any program is close to its payout threshold and redeem anything that qualifies. Look at expiry dates and flag anything expiring within sixty days. Then review last month's spending: did you use a card or portal that earned less than an alternative you already hold? If so, switch your default for that spending category. This short routine prevents nearly all cashback losses, and it has a side benefit — it makes you aware of your spending patterns, which often reveals savings far larger than the cashback itself.
